About the Role We are seeking a highly organised and proactive Executive Assistant to provide top-tier support to the CEO/Executive Directors/Directors of an independent NFP organisation.
This is a pivotal role requiring exceptional support to the Chief Executive Officer/Executive Directors/Directors to ensure administrative and governance activities are completed on time, within budget and according to agreed briefs, legislation and contractual compliance requirements.
Key Responsibilities: Be the first point of contact for external enquiries and provision of information.
Respond to enquiries on behalf of the CEO/Executive Directors/Directors and represent the organisation in a positive and professional manner.
Monitor/screen incoming calls when required.
Diary management and booking appointments.
Make travel arrangements (flights, hotels, car hire) as required.
Register CEO/Executive Directors/Directors to attend conferences/events/training.
Organise meetings/presentations/functions by booking meeting room/venue, organising catering and AV equipment, sending meeting invites and coordinating RSVPs.
Maintain administrative systems to effectively manage the CEO/Executive Directors/Directors schedules and ensure deadlines can be met.
Plan for effective meetings by preparing agendas and meeting minutes.
Follow up correspondence/briefing material as required.
Schedule meetings in advance.
Coordinate incoming and outgoing meeting documents and material for the Senior Leadership Team and/or Board of Directors.
Draft letters, briefs, presentations, and other correspondence for the CEO/Executive Directors/Directors and arrange distribution.
Establish and maintain accurate record keeping systems.
Manage emails to ensure staff are advised of important details in a timely manner.
About you: 5 years of experience providing support to senior executives, including Board governance tasks such as minute-taking and preparing meeting documents.
Able to work autonomously, maintaining clear and professional communication and positive relationships with internal and external contacts.
Able to establish work priorities and manage urgent tasks to ensure activities are completed in a timely and quality assured manner.
Show initiative be able to pre-empt administrative and business requirements of the CEO/Executive Directors/Directors.
Proficient in the use of Microsoft 365 (Word, Excel, PowerPoint, Microsoft Teams, Outlook, SharePoint and OneDrive), Board management software applications (e.g.
BoardEffect) and relevant databases.
Ability to exercise a high degree of confidentiality and discretion.
Display a high level of accuracy/attention to detail, efficiency and organisational skills.
Time management and problem-solving skills Please note this is a temporary role until June 2025, working Monday to Friday full time hours.
