Saint Stephen's College is currently seeking a Performing Arts Coordinator to provide administration support to ensure the efficient and effective coordination of the College's performing arts programs.
The Coordinator also supports the Director of Performing Arts, Head of Music with role-specific administrative tasks, including filing, data collation and record keeping, management of electronic folders, responding to phone calls and enquiries, assisting with parent information letters and collating information for publications such as programs and booklets.
The successful candidate will:

38 hours per week (Term Time) Due to the nature of the role the Coordinator may be required to work flexible hours to suit function and event times, many of which are often in the evenings. This highly motivated individual will juggle their time, in line with the operational demands of the College, without compromising a service mentality and a collaborative approach. About the role
Liaising with various employees, contractors and colleagues across the College, the Coordinator holds a dynamic role in a department where creativity and artistic passion provide a platform for unique student experiences. Coordinating a range of activities including auditions, rehearsals, correspondence, uniforms, eisteddfod entries, vehicle bookings and instrument hire, the person also provides administrative input for musicals and performances including the finalisation of key documents such as risk assessments.
The Coordinator leads the work of an administration assistant and together with the Director, they are central to an experienced and energetic faculty.
Duties include but are not limited to:
Executive Assistant to the Director of Performing Arts, Head of Music including the expectation to notate and distribute all meeting agendas and minutes, in the capacity of minute-taker. Managing data, lists, rolls, reports and resource bookings across Microsoft Office, TASS and Clipboard and completing hands-on administrative tasks such as photocopying, printing, binding, laminating, labelling, reconciling orders and invoices, purchasing and ticketing, as required. Booking venues, vehicles, rooms, catering and any other ancillary resource requirements, both on and off campus as it relates to excursions, performances, and other performing arts activities and events. Collating associated forms and fees, where applicable, for registrations, nominations, entries and participation and providing information about special activities/events to students and parents/carers. Working with the Director of Performing Arts, Head of Music on submissions for awards and College-endorsed nominations/applications for specialist performing arts programs, for example the Queensland Conservatorium Griffith University State Honours Ensemble Program. Coordinating all hiring and maintenance of instruments in the College's asset management system (Oliver). Working with the Costume Designer for each College musical, in the capacity of Assistant Producer, and overseeing the distribution and storage of such assets. In the capacity of Assistant Producer for the College Musical, work as part of a committed team of stakeholders, focused on providing creative and inspiring opportunities on time and on budget. Acting as the point of contact for performing arts stakeholders (including contractors and the onsite Dance School) to interpret and communicate the College timetable, the academic terms and the annual calendar of activities to enable the department's goals to be upheld. Attending performances, awards evenings and other significant department events to provide additional support which may be in the form of supervision for students, customer service support for audience members/visitors and generalised event assistance. Liaising with the Events/marketing team for special events, including the purchasing and organisation of trophies, production of certificates, coordination of content for social media and preparation of display boards/VIP guest details. Providing a high quality of customer service, in the Centre for Music Excellence, the role also works with other administration team members across the campus to ensure all stakeholders are provided with information in a timely, accurate and consistent manner.
