Job Description: Service Admin/Storeperson
Key Responsibilities:
1. Open internal and external service jobs in SAP, ensuring proper tracking and follow-up.
2. Check and prepare invoices/proformas for internal and external service jobs and ensure timely invoicing.
3. Order MR & NMR parts through SAP and BeQik2 systems, ensuring proper documentation and stock management.
4. Organise medicals and site inductions for employees as required, ensuring compliance with all safety and operational requirements.
5. Support with entering daily time sheets for service personnel, ensuring accuracy and completeness.
6. Perform general clerical duties including answering phones, scanning, photocopying, filing, and other administrative tasks.
7. Communicate with customers regarding invoicing inquiries, providing clear and timely responses.
8. Support the HSE Officer in engaging contractors that meet the business requirements and operational needs.
9. Perform other duties as required to meet the business and operational requirements of the team.
10. Ensure the monthly completion of service invoicing is achieved within deadlines.
11. Ensure the accuracy and integrity of monthly service invoicing, resolving any discrepancies promptly.
12. Maintain effective communication with all business departments to ensure smooth operations and processes.
13. Clean, tidy, and maintain the warehouse and goods receiving areas to uphold high standards.
14. Manage and maintain critical spares required for servo room activities.
15. Oversee the management and maintenance of spares for key customer accounts with service agreements.
16. Process incoming goods, ensuring that correct documentation is received and forwarded to the admin department.
Qualifications
* A customer and mechanical background is highly desirable.
* Having worked as a Service Coordinator in the automotive industry will be highly regarded.
* Strong attention to detail and high organisational skills.
* Able to work independently and as part of a team.
* Basic administrative skills and familiarity with documentation processes.
* Strong communication skills to liaise with team members and external parties.
* Knowledge of HSE procedures and commitment to workplace safety.
* Experience with inventory management software or basic computer literacy.
* Able to lift and move heavy items safely (as required).
* Forklift license or willingness to get one.
