The role of Executive Support & Project Administrator at Grow&Co Property Agents is a highly organised and autonomous position and is pivotal in providing high-level support, coordination, event planning and coordination, and organisational tasks to assist the Director and ensure seamless business operations. This role takes on significant responsibilities, and will own end to end processes, creating checklists, event processes, templates and more, driving each task or project forward while keeping stakeholders informed and involved. Key Responsibilities: Internal Team Processes Management and Coordination: Support the Director in company recruitment activity using the HR system to post roles, filter CVs, draft templated documents, move candidates through the recruitment process, coordinate interview diaries and communicate with shortlisted candidates, keeping stakeholders abreast of the process, and set up the employee file for successful candidates ready for onboarding. Manage the end-to-end coordination of the onboarding process, working with the appropriate hiring manager to personalise the orientation schedule, coordinating with all parties, book and manage diaries and task as appropriate, order equipment and be tenacious in following up with team and managers to ensure new starter paperwork is completed and HR system processes are completedBook and organise breakfast meetings and other key events, ensuring all relevant parties are informed and prepared, and where requested, attend and take minutes and actions, and follow up to close. Projects, Events, Task and Administration Documentation & Coordination Produce written updates on files marked for priority case management, assemble relevant information, and create a standard process, report templates and checklists for ongoing ownership and management.Schedule and coordinate company events such as quarterly team days, ensuring all logistics are proactively managed, communicated and recorded in the diaries.Own and coordinate administration projects, proactively keeping on track, maintaining documentation, and updating stakeholders regularly.Develop and manage processes and administration of rent roll values, including client communication, file preparation, and archiving.Generate reports on customer service metrics, ensuring timely and accurate communication of feedback.Develop PowerPoint presentations for team events, transforming content into professional and engaging slides.General Support and Personal Assistance Perform data and system updates, oversee the client feedback survey process, and generate reports for the Director's review.Support the Director to coordinate the business activity daily, taking on tasks as requested.Take notes and actively listen to the requirements of the business, and work with the Director to create and own processes that enable business efficiencies.
