The Position
An exceptional opportunity has become available for an experienced Executive Assistant to join a well-known, global leader based in North Sydney supporting the CEO and wider leadership team. This is a critical business position offering long term opportunities to add value.
The Role
The Executive Assistant/Office Manager will play a crucial role in partnering with the CEO and leadership team, to ensure their day runs seamlessly. Your duties will include but not be limited to:
1. Coordinate the CEO’s calendar, including sending meeting requests, preparing agendas and managing relevant requests
2. Arrange travel and accommodation for the leadership team
3. Answer and screen incoming calls to the CEO acting as a gatekeeper to ensure focus as needed
4. Manage the CEO’s inbox ensuring prompt responses are provided and tasks triaged
5. Collate and complete APAC reporting for the global CEO
6. Assist in implementing policies and procedures
7. Provide administrative support to the wider business
8. Managing and booking meetings rooms
9. Manage the office including ordering stationery, groceries and other ad-hoc tasks
10. Arrange internal staff movements and office relocations
11. Work proficiently across MS Word, PowerPoint and Excel
Skills & Experience
12. Stable experience working in a similar Executive Assistant role
13. Hands on and proactive attitude, adaptable at handling multiple tasks
14. Confidence and experience in building relationships including managing key stakeholders
15. Provide a highly professional, courteous and responsive approach internally and externally at all times
16. Impeccable communication skills
17. Strong attention to detail and accuracy
18. Proven knowledge of MS packages including Word, PowerPoint and Excel
19. Strong organisational and time management skills
20. Ability to prioritize tasks and work well under pressure
21. Ability to work independently with minimal supervision
22. Flexibility to adapt to changing priorities and deadlines
