About the role:
Draslovka Agricultural Solutions is seeking a highly organised and proactive Office Administrator/Assistant to provide comprehensive administrative support to our director and various departments. The ideal candidate will be extremely detail-oriented with strong organisational skills, quick to adapt, and confident in their computer skills, with an ability to manage calendars, format documents, and assist with diverse office tasks.
This role will be reporting directly to the Executive Team and will be based out of the Sunshine, VIC office.
Key Responsibilities:
Efficiently manage the Director's calendar, scheduling meetings, and coordinating appointments to ensure optimal time management.
Preparing agendas, briefings, and detailed minutes for executive and team meetings, ensuring all necessary materials are available, creating task lists, and following up on outstanding items.
Assisting in the planning and execution of special projects and initiatives as directed by the Director or Business Manager.
Formatting documentation, preparing reports, presentations, and other administrative tasks as needed by the executive team.
Communicating and coordinating with external stakeholders, vendors, and service providers.
Maintaining office supplies, managing office equipment, and ensuring the workspace is organised and efficient.
Managing and organising the physical and digital filing systems, ensuring documents are easily retrievable and securely stored.
Supporting the data entry and administration of internal management software and systems.
Provide administrative support to the Marketing, Work Health & Safety and Operations team including document preparation, record keeping and review.
Organising and coordinating company events such as customer and partner visits, training session and social events.
Requirements:
Minimum of 3 years of experience in a similar role.
Strong attention to detail, exceptional organisation, and time management skills.
Excellent written and verbal communication skills.
Excellent PC skills MS Office (Word, Excel, PowerPoint, Outlook) and other relevant software.
Ability to multitask and prioritise effectively.
Strong problem-solving abilities and attention to detail.
Flexible and able to adapt to changing priorities and demands.
High level of discretion and professionalism.
Be able to engage in a dynamic and fast-paced work environment with diverse tasks and challenges.
