We have an exciting opportunity for an individual to join our Technology and Transformation team as a Management Assistant and provide support to the Chief Technology Officer & AI Transformation Leader(s).In this role, you will be managing the day-to-day requirements of their roles, including the co-ordination and management of all administrative functions such as email monitoring and prioritisation, travel and accommodation, meeting schedules and telephone messages.This role is permanent full-time role based in Sydney.What you’ll doManage diary, emails, and schedules, coordinating internal and external meetings, and providing daily agendas, minutes, and relevant materials.Arrange travel, accommodation, and logistics for the Business Leader and teams, including external parties as needed.Organise recurring meetings, including one-on-ones, room bookings, video conferencing, and catering, and attend meetings to create agendas, minutes, and follow up on actions.Coordinate administrative setup for new starters, including security, access, workstations, laptops, telephony, and remote assistance.Oversee monthly Corporate Visa reconciliation, address account queries, and submit reports for approval.Ensure People Metrics data is up to date, including maintaining organisational charts, OPS data, and directories, as well as assisting with recruitment processes.Prepare monthly reports for the Business Leader, manage emails and admin requests, and address non-critical issues on behalf of the manager.Organise team functions and conferences, managing logistics, venue liaison, technical requirements, and catering.Identify opportunities for efficiency, cost savings, and risk management within the team.Handle procurement tasks, including supplier engagement, requisition approvals, and timely payment processing.What you’ll bringPrevious experience as a Management Assistant is preferred.Proficient in Microsoft applications (Excel, PowerPoint, Word, Outlook).Strong focus on efficiency, continuously seeking ways to streamline processes.Able to work effectively in diverse and flexible teams, respecting different perspectives while maintaining confidentiality.Understands how to align with team, business, and group priorities.Demonstrated ability in planning, organisation, and time management.Strong influencing and relationship-building skills.Self-motivated with a proactive approach to tasks.Excellent problem-solving capabilities.Strong communication skills, both written and verbal, with active listening.Familiarity with team-specific processes and systems.If this sounds like the opportunity you have been looking for, apply online today!
