Our team-based approach fosters collaboration and personalized service, making us a trusted partner in financial planning.Position OverviewThe Financial Planning Executive Assistant will provide administrative and operational support to the senior leadership and financial advisors at CandorPath Financial. This role is essential in managing client interactions, scheduling, and financial documentation while ensuring a seamless client experience. The position follows a hybrid work model, requiring in-office presence three days a week and remote work for two days.Key ResponsibilitiesClient Experience & Office ManagementServe as the first point of contact for clients, handling phone calls, emails, and in-office visits professionally.Maintain an organized and welcoming office environment that upholds CandorPath's high standards.Manage incoming mail, phone, and text communications, ensuring timely responses.Foster strong client relationships by proactively identifying opportunities to enhance their experience.Administrative & Operational SupportOversee the scheduling of client and advisor appointments, ensuring seamless coordination.Proactively manage advisors' calendars and inboxes, prioritizing key communications.Track and manage tasks, activities, and project status within CRM and task management systems (ClickUp & Copper).Handle service requests, including beneficiary updates and cashiering transactions.Process new business paperwork, including applications and account change forms.Financial Planning SupportPrepare and organize client files before meetings.Input and manage client data using financial planning software (eMoney).Draft and send post-meeting summaries and follow-ups within 24 hours.Facilitate secure document exchanges between clients, professional advisors, and vendors.Qualifications & SkillsExperience working in a financial planning or advising office.Strong organizational and time-management skills, with the ability to multitask in a deadline-driven environment.Proficiency in office technology and industry-related software, including Calendly, DocuSign, PDF Tools, Laserapp, Copper, ClickUp, eMoney Advisor, and Drake.Advanced computer skills, particularly in Google Workspace.Ability to work independently, identify efficiencies, and streamline processes.Strong analytical and problem-solving skills.Excellent written and verbal communication skills with a client-first approach.Willingness to learn and adapt to financial market trends and industry regulations.Work ScheduleHybrid schedule: 3 days in-office, 2 days remote.Office hours: 9:00 AM – 5:00 PM.Compensation & BenefitsSalary: $45,000 – $60,000 per year.Yearly bonuses based on performance.Healthcare: 60% of premium covered (Blue Cross coverage).401(k) matching: Safe harbor plan (100% match on the first 3%, 50% match on the next 2%).Paid Time Off: Unlimited (Responsible Vacation Policy).Continuous learning opportunities with access to professional development platforms.Interview ProcessFirst Interview: Virtual meeting with Megan Glass, Director of Operations.Second Interview: In-person meeting with John Kennedy, Co-Founder.
