What’s the opportunity?
The Client Service Coordinator plays a key role in ensuring a seamless and professional experience for ENS clients and consultants. This role is responsible for supporting the Client Service team by assisting with client interactions, managing program logistics, and handling administrative tasks to enhance the overall efficiency of ENS. The Client Service Coordinator serves as a primary point of contact for clients and consultants, ensuring smooth communication and coordination while providing essential operational support to the Client Service Managers.
Key Responsibilities :
Client Engagement & Support :
1. Assist Client Service Managers in responding to client inquiries, ensuring prompt and professional communication.
2. Support client onboarding, program registrations, and follow-up communications as directed by the Client Service Managers.
3. Maintain and update client records in the CRM system, ensuring accurate and organized information.
Program Coordination :
1. Work closely with Client Service Managers to plan and execute ENS training programs and events.
2. Liaise with consultants to confirm session details, participant numbers, and logistical requirements under the guidance of the Client Service Managers.
3. Assist with coordinating venue bookings, catering, and required materials for training sessions.
4. Support scheduling efforts and ensure timely communication of program details to clients and consultants.
Administrative & Operational Support :
1. Provide general administrative support, including document preparation, report generation, and data entry to assist Client Service Managers.
2. Maintain and update internal systems and documentation related to client engagements and program delivery.
3. Support the invoicing process by liaising with clients and the finance team to ensure accurate and timely payments.
4. Monitor client feedback and assist in reporting insights to improve service delivery.
5. Work closely with the Client Service Managers and ENS team to support business development and client retention initiatives.
6. Collaborate with consultants to ensure seamless service delivery and maintain high standards.
7. Assist in drafting and distributing client communications, including newsletters and updates, as needed.
Qualifications:
1. Excellent verbal and written communication skills.
2. Strong attention to detail and organizational abilities.
3. Ability to manage multiple tasks and deadlines effectively.
4. Customer-focused mindset with a proactive approach to problem-solving.
5. Proficiency in Microsoft Office Suite and CRM software (experience with Dynamics, Salesforce or similar).
6. Strong interpersonal skills and ability to work in a dynamic team environment.
7. Experience in event coordination, client services, or administrative support is highly desirable.
