The Financial Services Branch, as part of Corporate Services Division, provides high quality advice and support to the department and its stakeholders through effective budget management, quality assurance and compliance, meeting financial reporting obligations and ensuring strong governance and performance management frameworks.
As the Executive Support Officer, you will provide high level, confidential secretarial support to the Executive Director and Directors of Financial Services. There will be opportunities to complete ad-hoc duties across the branch and to assist the Senior Executive Officer with reporting and correspondence.
Providing high level, confidential secretarial support, including accurate diary management to the Executive Director and Directors of Financial Services, ensuring forward planning of regular meetings and provision of supporting documents for meetings.Assist the Senior Executive Officer in monitoring financial and HR reports for the Executive Director, to identify anomalies and undertake basic research to propose explanations/rectifications.Assist the Senior Executive Officer with branch correspondence when required, monitor the progression and quality-check correspondence and reporting processes.Maintain an effective management records system in accordance with relevant record keeping procedures including the management of computerised databases (eDOCS), manual files and information retrieval systems as required.Complete ad-hoc duties for the Executive Director, Directors and Managers of Financial Services and use a high level of initiative to resolve issues across the branch regarding assets, stationery, room bookings and general office functions.Assist with the completion of finance tasks across the branch as required.Work autonomously using a high level of initiative and self-motivation to assist in the efficient and effective management of the office and resolve issues.Technical skills, abilities and cultural capability: Demonstrate a thorough knowledge in the use of the Microsoft Office package and a capacity to quickly master new applications and programs.Demonstrate knowledge of Corporate Card use and responsibilities, or a willingness to learn.Demonstrate knowledge of SAP finance or a similar system, or a willingness to learn.Exercise judgment, discretion, and initiative in decision-making by identifying and anticipating potential problems with tasks and take appropriate steps to mitigate risks.Accept decision-making responsibility and demonstrate judgement about when to escalate issues.Develop and maintain working relationships with a broad range of stakeholders both internal and external.
