Your Role As an integral member of the Victorian Sales Team, your role is to maintain and develop relationships with cross functional departments, internal staff and customers, providing support that helps execute our state sales budget achievement. You will work closely with State Sales Manager and Account Management teams and have the ability to understand all site dynamics and support sales activities across all our brands. A Typical Day Management of Distribution delivery summary processes Assist with the timely execution of delivery summary advice schedule follow up. Assist distribution and state sales teams in allocation/un-allocation of stock. Liaise with state Distribution teams to maximise stock delivery potential. Liaise with retail customers regarding deliveries. Assist in the re-allocation of stock to enable full capacity of trucks. Assist Commercial team in stock allocation. Co-ordination of minor carton damage stock including compiling orders and liaising with Distribution re deliveries. Management of rejected B2B orders. Feedback any price discrepancies at National level to appropriate National Business Manager and/or Key Account Manager. Work with state Distribution and demand flow teams on relevant stock movements where applicable. AEG Stocktake reconciliation Work through the bookings to get the orders out. Or move the allocations from stores not taking delivery so that the allocations will move to the stores that will take delivery. Look at the stock offsite and requests for it to be brought into the DC to get backorders out. Request stock transfers from the supply chain again to cover backorders. Helps the sales team with deallocations and reallocations requests. Regular updates on obsolete stock and carton damaged stock. Assist AEG Account Managers with the reconciliation of stocktakes to be 100% reconciled. In conjunction with the Senior Account Manager maintain a spreadsheet register of all stores and the outcome of all state AEG stocktakes. Pricing, Vendor and Customer Claim Management Assist with customer credit claim processing. Assist with system price upload creation and maintenance where applicable. Process vendor claims and invoices. Assist state Key Accounts with price list distribution. Provide suitable outcomes for vendor enquiries and if required be able to forward enquiries to the appropriate people within the organization. Display Stands Assist the sales teams in the preparation of customer display brief documents. Liaise with Brand Marketing to ensure the approval process is achieved in a timely manner. Manage state based maintenance requirements. Liaise with cabinet makers and process invoices as required. Training/Presentations Assist the Training Account Manager, in the preparation training material for presentations. Assist in the co-ordination of new product release launches, training sessions, and State Masterclass Session (In House Retailer Training). General administration/other Coordinate functions, training sessions, conferences, state sales meetings, on site Masterclasses & factory tours and book flights/accommodation where necessary. Maintain base contacts for general information flow for state sales teams and be able to locate information to assist the sales force including State Sales Manager, Account Managers, National Sales Managers/BDM's, Key Accounts and Marketing. Control and monitor all sales office stationery and supplies, ensuring that all consumables for the sales office equipment are kept in supply. Assist the State Sales and National Sales Managers with HR requirements in regard to new employee onboarding. Assist with the coordinating of Cooking Pod bookings, cleaning and maintenance requirements. Control and monitor the removal and installation of showroom product between Sales, Service and Distribution divisions. Collaborate with other state sales administration assistants to leverage best practices. Identify ways to streamline at a national level in order to increase consistency and drive operational efficiency. Who You Are Previous experience supporting a Field Sales Team is ideal, however we also welcome applicants from other team based admin support roles. Strong Microsoft Word, Excel, PowerPoint and Outlook skills. Excellent verbal and written communication skills. The ability to make decisions within given guidelines when advice on minor matters is not readily available. The ability to work closely with an Account Management team and understand the dynamics of a sales team. Effective time management skills. Ability to work unsupervised and as part of a team.
