About the role Gold Coast Private Hospital is seeking an experienced Executive Assistant to join our busy executive office on a full-time basis. This role is responsible for assisting the busy General Manager with all business matters, displaying exemplary customer service at all times, and providing administrative support for the executive team as required. Key Responsibilities: Assist Gold Coast Private Hospital's General Manager (GM) with all business matters. Manage the GM's mailbox by reviewing all emails, flagging any requiring urgent attention, and responding where possible on behalf of the GM. Manage incoming calls to the GM's office by screening, delegating and responding to calls and acting on behalf of the GM. Coordinate extensive diary management for the GM, ensuring daily commitments are appropriately prioritised and meet the priorities of the business imperatives. Establish and maintain effective working relationships with senior managers across Healthscope, Visiting Medical Officers (VMOs), employees and external stakeholders, liaising with and resolving issues without escalation to the GM. Prepare professional correspondence, documentation and presentations on behalf of the GM. Manage the Executive Receptionist and Credentialing Officer positions. Oversee the management of the accreditation process for over 1,100 VMOs and Allied Health Practitioners (AHPs). Manage rostering and leave requirements for the Executive, Marketing and Finance teams. Manage complex domestic travel arrangements, including flights, accommodation and car hire. Successfully organise meetings and workshops, and strategy days. Manage extensive commercial card and general expenditure for the GM. Maintain management of documentation, records and office systems for ease of access of information used by the Executive Team. Essential criteria: Minimum three years executive administration experience in a busy, dynamic and professional environment. Advanced computer skills in MS Office (Outlook, Word, Excel and Power Point). Highly developed organisational and time management skills with the ability to prioritise tasks and meet deadlines in a fast paced environment. High level attention to detail and strong written communication skills. Outstanding customer service, excellent interpersonal and communication skills. Advanced critical thinking skills. Diploma level qualification in Business Administration or related discipline. Applicants with a Bachelor level qualification in Business, Marketing or related discipline will be highly regarded. Ability to work autonomously and within a team. Ability to follow instructions and take directions. Previous administrative experience in a hospital/health care environment is desirable.
