The Property and Facilities Maintenance Officer works within the Facilities Management Section, who are a multi-disciplinary team responsible for the efficient administration and management of the Mint’s building services. They provide high quality and timely services, requiring organisational and project management skills. The role of Property and Facilities Maintenance Officer has two functions, administrative and maintenance.
Administrative function
The administrative function of the Property and Facilities Maintenance Officer role provides administrative support to the Facilities Management Section. They manage administrative functions relating to facilities maintenance including writing reports and submissions, undertaking financial tasks including management of invoices and purchase orders and developing documentation to support the continuous work of the section. They liaise with a variety of stakeholders to support project delivery and work closely with the maintenance function to support day to day maintenance operations.
Maintenance function
The maintenance function of the Property and Facilities Maintenance Officer role is responsible for managing the day to day maintenance operations across the Mint including performing minor maintenance. They allocate work and coordinate drawings for external trades and contractors. They contribute to maintenance projects and assist with facilities related procurement and contract management. The maintenance function works closely with the administrative function to support the delivery of facilities and maintenance services.
The duties of this position include:
1. Managing day-to-day maintenance operations within the Mint, including escorting and supervising external trades and contractors on site.
2. Allocating work and coordinating drawings, specification and documentation for external trades and contractors to effectively maintain the Mint.
3. Attending to Facilities Maintenance (FM) and Property Service Provider helpdesk requests including performing minor maintenance.
4. Liaising with internal and external stakeholders and providing technical support to assist the delivery of property and facilities maintenance tasks.
5. Contributing to the Mint’s building maintenance projects.
6. Preparing reports, written submissions and business cases relating to property and facilities maintenance, and to support the procurement of goods and services.
7. Raising purchase orders, tracking invoices and receipting goods in ERP.
8. Developing documentation including work instructions, risk assessments and operating procedures.
9. Assisting with procurement and contract management activities in accordance with Commonwealth Procurement Rules.
10. Ensuring compliance with all statutory requirements, including work health and safety.
Security clearance
This position requires a Baseline security clearance. The successful applicant will be required to obtain and maintain a clearance at this level.
