Office Manager - Early Learning Centre ()

As the Office Manager, you will be responsible for managing the day-to-day administrative operations of our early learning centre. Your job will encompass administrative oversight, staff coordination, compliance management, and parent communications. You will oversee staff scheduling, compliance, enrolments, financial administration, and facility management to ensure a safe and well-equipped learning environment.
Your role will also involve liaising with families and staff, managing payroll and budgeting, ensuring compliance with childcare regulations, and coordinating marketing and digital presence. The ideal candidate will be a highly organized and proactive leader with excellent problem-solving abilities.

Tasks & Responsibilities
1. Oversee daily administrative operations - Ensure smooth office functions, front desk management, and efficient staff scheduling
2. Manage enrolments and compliance - Maintain student records, oversee waitlists, and ensure regulatory adherence
3. Parent & staff communication - Serve as the primary contact for families, handling inquiries, enrolments, and feedback
4. Financial & HR administration - Process invoices, payroll, budget tracking, and manage HR documentation
5. Regulatory compliance - Ensure adherence to childcare licensing regulations, policies, and safety standards
6. Support leadership & teaching teams - Assist in coordinating staff training, professional development, and meetings
7. Manage procurement & facility needs - Oversee supplies, vendor contracts, and maintenance coordination
8. Marketing & digital presence - Maintain the EKM website, create promotional materials, edit videos, and manage social media
9. Event marketing & promotions - Plan and execute event marketing strategies and distribute promotional materials
10. Staff onboarding & training - Organize employee inductions, conduct training sessions, and standardize procedures
11. Employee records & timekeeping - Maintain personnel records, oversee attendance tracking, and process payroll
12. Finance & payroll management - Approve transactions in Xero, manage bank reconciliations, and oversee payroll processing
13. Health & safety compliance - Ensure policies are updated, conduct workplace safety assessments, and meet childcare regulations
Qualification & Experience
Bachelor's degree in Business Administration, Office Management, Early Childhood Education, Finance, Marketing, or a related field (preferred)
Proven experience in office administration, childcare management, finance, payroll, or a similar role
Experience in marketing, social media management, and digital content creation is an advantage
Essential Skills
1. Technical Skills: Proficiency in Microsoft Office, Google Workspace, and Xero; knowledge of childcare regulations and compliance; experience in website management, social media, graphic design, and video editing
2. Administrative & Organizational Skills: Strong ability to oversee office operations, manage enrolments, and implement efficient procedures
3. Finance & Payroll Knowledge: Experience in payroll processing, vendor payments, budget tracking, and childcare-related billing
4. Communication & Leadership: Strong customer service and communication skills, with the ability to train new employees and manage operational challenges

EK Montessori provides a Montessori-based education and care program for children aged 6 weeks to 6 years. Our nurturing environment fosters independence, curiosity, and a love for learning. We offer 111 spaces for children and operate Monday to Friday from 6:30 AM to 6:00 PM, excluding public holidays.
