Play a crucial role in supporting a major digital transformation project, by providing administrative support to a number of key stakeholders.
Responsibilities include:
1. Work closely with the project managers and program office to ensure the effective coordination and support of the project and governance bodies, including secretariat duties for board meetings, workshops, forums and focus groups; taking meeting minutes and the management of actions and decisions.
2. Support the Program Office in engaging and on-boarding program and project resources, including the management of logistics and program assets.
3. Assist in managing the program and project artefacts through SharePoint and the department's eDRMS, to ensure the timely availability of information to support and evidence decisions.
4. General program and project support as required by the Program and Project Managers.
5. Provide quality coordination and support on the Unify program, which may include financial, human resource, information technology, information management and other administrative requirements and issues.
6. Provide consolidated reporting for the Unify program including liaison with relevant team members and stakeholders to meet performance reporting requirements. Assist in updating the program's risks and issue logs.
Skills for success include:
7. Experience in coordination and administrative activities in a fast paced and structured work environment within human services sector.
8. Demonstrated ability to produce high quality and accurate minutes from governing body meetings.
9. Knowledge of departmental policies and processes of records management principles and practices.
10. Proven experience assisting in the preparation of ICT program and project documentation ensuring compliance with Queensland Government ICT program and project management templates, frameworks and methodologies (preferably PRINCE 2)
