I have partnered with a Federal Government Agency in the heart of Geelong to recruit an APS5 Executive Assistant for a full-time temporary assignment for a 6-month contract with a potential for extension.
Your new role
The APS5 Executive Assistant, will support the executive team by managing schedules, coordinating meetings, and ensuring effective communication with stakeholders, all while upholding the highest standards of confidentiality and professionalism.
Duties and Responsibilities will include, but not limited to:
* Managing emails, appointments, and preparing briefing materials.
* Scheduling meetings, preparing reports, and documents relating to committees and projects.
* Organising travel arrangements and supporting official functions on behalf of the General Manager and other agency staff as directed.
* Providing guidance, support, and quality assurance to staff at lower classification levels.
* Identifying and contributing to the resolution of issues and problems as they arise.
* Maintaining a well-developed understanding of relevant legislation and policy frameworks.
* Assisting with maintaining risk management programs.
What you'll need to succeed
To be successful as an APS5 Executive Assistant:
* Ability to manage multiple tasks, prioritise effectively, and maintain a high level of accuracy and attention to detail.
* Strong written and verbal communication skills to interact with internal and external stakeholders, prepare reports, and handle correspondence.
* Efficient time management.
* Demonstrated critical thinking and decision-making abilities.
* Competence in using office software (e.g., Microsoft Office Suite) and other relevant tools for scheduling, document preparation, and communication.
* Flexibility to adapt to changing priorities and work environments, and to support various functions as needed.
* Must be an Australian Citizen
* All applicants selected for an interview will be required to provide two supporting references before the interview
* Qualifications in business administration, management, office administration, project management, or a related field, or equivalent work experience in lieu of formal qualifications.
* Proven experience in an administrative or executive assistant role, preferably within a government or large organisational setting.
