Parish Administrative Assistant (Part-time) – Job Description The Parish of Queanbeyan and District Anglican Church includes 5 churches and 7 congregations and is a part of the Anglican Diocese of Canberra and Goulburn:
Christ Church, Queanbeyan St Paul's, Burra The Parish owns and operates six low-cost accommodation units known as Beth Shalom behind the Christ Church precinct in Queanbeyan.
The Parish is associated with:
Karabar Housing Cooperative who provide low-cost accommodation in the Queanbeyan area HOME in Queanbeyan who provide accommodation and care for people living with mental illness St Benedict's Community Centre, located at Annie's Place in Karabar, who provide meals, food distribution, care for the homeless and other support for those in the community who are in a position of need George Forbes House and Aeralife nursing homes where it provides weekly services of Holy Communion. The Administrative Assistant provides a first point of contact for the community and as such needs to be sensitive to the needs of callers and visitors. The position also provides administrative support to the Clergy of the Parish and Parish Council.
The position is twelve hours per week, with current hours being negotiable. There is also the opportunity to be able to work from home where this is appropriate.
There will be a 6-month probation period for the successful applicant.
Duty Statement The Administrative Assistant provides administrative support to the Clergy and Parish Council of Queanbeyan and District Anglican Church. It is also the first point of contact for members of the community and as such needs to be sensitive to the needs of callers and visitors.
Primary Responsibilities Maintain the daily office routine with timely throughput of tasks Answer phone calls, emails or letters and personal visits to the Parish Office Print orders of service and other papers and reports as requested by the Clergy and members of Parish Council Under the direction of the Rector or Treasurer: Submit accounts received by email or post to the accountant for payment weekly Prepare Surplice Fee Claim forms and Occasional Service Fee Claim forms as required and submit these to the accountant or Diocese for payment Raise invoices for funerals, property rentals and other invoices as required Count and bank weekly collections and provide documentation to the accountant Collect and bank rents paid in cash for units owned by the Parish and for the Christ Church Hall Prepare rental invoices for the Karabar Preschool Manage the Centrelink Centrepay facility used by the Parish for collection of rents Provide administrative support to the Parish Clergy and Parish Council: Assist in the preparation of the annual Parish Return Assist in completing the annual Cemeteries and Crematoria Return Maintain the corporate calendar Maintain registers of Baptisms, Funerals and Weddings Book SYNOD accommodation and meals for Clergy and 3 Parish SYNOD representatives as required Book accommodation and meals for Clergy attending Clergy Conference and Clergy Retreats Liaise with the Rector in preparing, finalising and emailing both the weekly Parish News Letter and Sunday Reflection. Liaise with the Diocese, Parishioners, vendors and repairers as required Participate as a member of the Beth Shalom Management Committee Maintain office supplies and maintain stocks of wafers, candles, etc. Other duties as may be required by the Clergy and/or Parish Council Key knowledge, skills, and experience The successful applicant will:
Have a basic understanding of the Anglican Church and Christianity Be able to work with pastoral sensitivity and confidentiality Have experience in organising an office with effective time management Have experience working with Windows, Office 365, Zoom, DropBox, email and calendaring Be able to communicate effectively both orally and in writing Be able to prioritise work with interruptions Be able to work both with and without supervision Other requirements The Administrative Assistant is required to:
