The Role
The Event Coordinator is an entry-level role. Supporting the Engagement Team, the Event Coordinator will have the opportunity to work across a range of first-class in-person, hybrid, and online events.
Key Responsibilities
* Coordinate key event-related administrative tasks including:
o Maintenance of registration data
o Responding to delegate queries
o Coordination and management of event suppliers
o Organisation of speaker travel
o Preparation of run-sheets and event materials for distribution to delegates, staff, speakers, and committees
o Coordinate post-event evaluations and preparation of reporting documentation for financial and overall event analysis.
* Observe OH&S and risk policies and create scenario and contingency plans as they relate to face-to-face, virtual, and hybrid events for staff and delegates.
* Implement go-to-market plans that deliver the highest quality promotional collateral, relevant to the target audience with sufficient lead time.
* Draft and coordinate marketing and advertising materials for event promotion in line with overall marketing and communication plans.
* Work with event and marketing teams to coordinate social media content as part of overall marketing and communication plans pre, during, and post-event.
* Develop and maintain positive relationships with key stakeholders, internally and externally.
* Provide support to team members as and when required via a range of event and non-event-related administrative tasks as needed or directed.
The Candidate
The ideal candidate will be a recent graduate of event management, marketing, communications, business, or a related field. The ideal candidate will have exceptional customer service skills and a passion for delivering world-class experiences to members.
* Ability to develop creative and innovative ideas, initiatives, and solutions.
* Proficient in the Microsoft Suite, including Word, Excel, and PowerPoint.
* Pasionate and enthusiastic 'can-do' attitude, proactive, positive, and self-motivated.
* Ability to remain calm under pressure.
* High attention to detail with strong written and verbal communication skills.
* Excellent organisational and administrative skills.
* Willingness to work flexibly and outside of normal business hours if required for events.
