Primary objective The Works Control Officer provides effective administrative and receptionist support to the Hospital Engineering Department. This position is a crucial link between hospital staff, external stakeholders, contractors and the Hospital Engineering Department in relation to managing hospital systems and infrastructure and contributes to positive outcomes through responsive and customer focussed delivery of services. Position will interchange with the Royal Darwin Hospital Works Control Officer as required. Key duties and responsibilities 1. Provide the first point of contact/reception for contractors and visitors to the Engineering Services department; determine action to be taken or refer to relevant engineering technical staff and coordinate all administrative support required by clients. 2. Prepare work requests on a maintenance computer system to enable staff to carry out an efficient service for Hospital Engineering clients. 3. Accurately maintain of databases, filing systems and update electronic records management. 4. Keep track of purchasing including direct purchase orders, invoices and keeping financial records as per procurement guidelines. 5. Manage and issue contractor identification and facilities keys as required, ensuring requesters have working with children’s cards (Ochre Cards) and completed site induction prior to issuing. Selection criteria Essential 1. Proven experience and sound knowledge of administrative support services. 2. Demonstrated customer service and communication skills, with the ability to interact effectively with stakeholders and people of diverse cultures. 3. Good working knowledge of Microsoft Office software applications including Outlook, Word, Excel, EIMS, TRIPS, TRIM, Internal Requisitions and MEX or other building asset maintenance software. 4. Demonstrated organisational skills of a high order, including an ability to prioritise, multi-task, to work under pressure and complete tasks within required time frames, work independently and flexibly, be self- motivated, exercise initiative and attention to detail. 5. Good working knowledge of document management practices. Desirable 1. Knowledge of a hospital environment in relation to an engineering services department or similar restricted facility. 2. Certificate III in Business Administration. 3. Good understanding and working knowledge of NT Government Contract and Procurement Guidelines.
